CASA-VFC is currently hiring for a full-time Program Assistant in our Newport office!

JOB TITLE:  Program Assistant

LOCATION:  CASA-Voices for Children - Lincoln County Office (308 SW Coast Hwy, Newport, OR)

STATUS: Full Time; 40 hours per week (Non-Exempt)

REPORTS TO: Executive Director
 

POSITION SUMMARY:  

The position is responsible for assisting in fulfilling the mission of CASA-Voices For Children to ensure a safe and permanent home for every child removed from their homes due to abuse or neglect. The ideal candidate will be able to handle a range of support-related tasks, able to maintain strict confidentiality, enjoy working with data, and enjoy the challenges of supporting a small organization working with a diverse group of people.  Opportunities for advancement into a Program Coordinator role will be available for qualified candidates.

SPECIFIC DUTIES OF POSITION:

General Responsibilities:

  • Professional support of staff and volunteers

  • Greet and assist people in a positive and professional manner

  • Answer and route calls or messages appropriately

  • Maintain and update community partner contact list

  • Assist with policy and procedure updates and organization

Data, Records and Information Tracking Responsibilities:

  • Update database

  • Track and assist with program reporting requirements

  • File management, document retention and assistance in paper/electronic organization for cases, projects, programs, grants and donations

  • Ensure court orders, discovery, progress reports and assessments are received, documented and filed

  • Request, process and track volunteer and intern paperwork and compliance requirements

  • Track hearings and manage court calendar

  • Other duties as assigned

Additional Duties:

  • Assist with volunteer recruitment, training, and retention

  • Assist with fundraising events as needed

  • Assist the team in whatever capacity necessary to maintain the integrity of the organization

  • Other duties as assigned
     

PROFESSIONAL/PERSONAL SKILLS REQUIRED:

  • Ability to work both independently and effectively with other employees in a small office setting

  • Organized with strong attention to detail

  • Flexibility and willingness to take on additional tasks and responsibilities to ensure organization’s needs are being met

  • Ability to work with interruptions and to re-prioritize tasks on a moment’s notice

  • Ability to learn quickly and willingness to learn new technology and skills

  • Ability to multi-task, prioritize and to meet deadlines with quality output

  • Ability to manage multiple tasks/projects simultaneously

  • Ability to follow written and verbal instructions

  • Ability to make decisions consistent with existing policies and procedures

  • Ability to communicate well both verbally and in writing, including proofreading

  • Excellent writing, proofreading/editing, and communication skills

  • Excellent critical thinking, common sense and problem-solving skills


 

MINIMUM QUALIFICATIONS:

  • Must be 21 years or older

  • High school diploma or equivalent

  • Ability to pass criminal background check 

  • Ability to pass Child Welfare background check

  • Must be available to work full-time on a regular schedule (Monday through Friday 8:30am-5pm, with occasional evenings and weekends)

  • Reliable transportation

  • Bilingual preferred but not required

  • Working knowledge of Microsoft Office

  • Experience with databases a plus


 

PAY AND BENEFITS:

  • Pay: $16/hour
